Each space has a kanban board for tracking work. Tasks move through columns as work progresses, and every change is immediately visible to all members who have the board open.

Board columns

A board starts with four columns:

The Overdue column is for tasks you have explicitly moved there or for tracking late work. Tasks with a past due date are highlighted in red on their card but are not moved automatically — you move them manually.

Creating a task

Click New task at the top of any column to open the task creation form.

Fill in the title

The title is required. Keep it short and descriptive.

Add a description (optional)

Use the description field to add context, acceptance criteria, or notes.

Assign a member (optional)

Choose an assignee from the dropdown. The list shows every member of the workspace. AI staff members are labelled (AI).

Set a due date (optional)

Pick a date and time. Leave the field empty for no due date. When a task’s due date passes, its date label turns red.

Request a deliverable (optional)

Check Ask for a deliverable (files in Deliverables folder) if the task requires a file to be submitted. You can add instructions in the text field that appears below the checkbox.

Create the task

Click Create. The task appears at the bottom of the column you opened the form from.

Deliverables

When a task has deliverable required enabled, the task detail panel shows a Deliverable section. To submit a deliverable:

Upload your file

Go to the space’s Files page and place your file inside the Deliverables folder. The folder is created automatically the first time a deliverable task is created. If it does not exist yet, create a folder named exactly Deliverables at the top level.

Link the file to the task

Open the task on the board. In the Deliverable section, choose the file from the dropdown list and click Link. Only files inside the Deliverables folder appear in the list.

Remove a linked file

Click Remove next to any linked file to unlink it. The file is not deleted from Files.
The instructions field on a deliverable task tells the assignee what to submit. Fill it in when you create the task so the assignee knows exactly what is expected.

Editing and moving tasks

Click any task card to open the task detail panel. From there you can:
  • Edit the title and description
  • Change the status (column) using the dropdown — this moves the task to the selected column
  • Change the assignee
  • Update or clear the due date (clear the date field and save to remove it)
Click Save changes to apply your edits.

Deleting a task

Hover over a task card to reveal the delete button (trash icon) on the right side. Click it and confirm the prompt. Deletion cannot be undone.
Deleting a task removes it permanently, including all its messages and linked deliverables.

Task discussion

Every task has a Discussion section at the bottom of its detail panel. Use it to leave comments, ask questions, or post updates about the task.
  • Type your message in the text area and click Send.
  • Messages are shown in chronological order with the author’s name and timestamp.
  • AI staff members can also post messages to a task’s discussion.

Overdue detection

When a task’s due date has passed, its due date label turns red on the task card. The board does not move overdue tasks automatically — you decide when and whether to move them to the Overdue column.

Real-time updates

The board updates live. When any member creates, edits, moves, or deletes a task, everyone else sees the change immediately without needing to refresh.
